admin@botable.proInformation Botable receives
Botable stores account names, email addresses, Business details, phone numbers and configuration, together with the date and version of the Terms accepted at signup. For calls forwarded to Botable, it stores Caller numbers, call records, voicemail recording references, transcripts, text conversations and inquiries. It also records provider identifiers, delivery results and AI token usage.
How information is used
This information supports account access, subscription billing, call handling, caller replies, Lead tracking, Operator alerts and troubleshooting. Authorized Business Operators can access their Business’s Caller details. Botable support may access information needed to investigate a reported issue. Callers hear a recording notice before leaving a voicemail. AI transcribes messages and summarizes inquiries for the Business. AI-generated inquiries and replies can be incomplete or inaccurate. Business Operators decide how to follow up.
Service providers and processing locations
Twilio handles calls, recordings and text messages. OpenAI receives voicemail audio for transcription and conversation content for the Assistant. Stripe handles checkout and payment details; Botable does not receive full payment card numbers. Google receives authentication requests when you choose Google sign-in. Hosting and email providers process data needed to run the app and deliver email. These providers may process and store information outside Quebec and Canada, where different laws may apply. Contact the privacy officer for questions about providers and processing locations.
Sessions and preferences
Botable uses cookies and server-side sessions for sign-in, security and language preferences. Google sign-in supplies a Google account identifier, name and email address. Botable does not need access to your Google email messages or files.
Visit and trial statistics
Google Analytics loads automatically on public pages and uses cookies to measure visits, together with browser, device and approximate location information. Google may process this information outside Quebec and Canada. Google scripts are excluded from signup, sign-in and private Business pages. Public page addresses include only approved campaign parameters; other query values, fragments and private referrers are excluded. When trial measurement is configured, a first-party attribution cookie lasts up to 30 days and connects a public visit to a confirmed Business trial. Botable sends Google the pseudonymous Analytics identifier and a trial-start event, not account names, email addresses, caller phone numbers, recordings or conversations. When advertising measurement is enabled, Google click identifiers and advertising storage are used to measure which ads produce trials. Remarketing and advertising personalization remain disabled. Browser privacy settings or blocking tools may limit collection. Read how Google processes data at https://policies.google.com/technologies/partner-sites.
Closing a Business and retained records
Closing a Business stops its service, removes Operator access and queues provider cleanup. Closure does not immediately erase historical records, logs, provider recordings or backups. Records needed for billing, resolving disputes or completing provider cleanup may need to be retained. A limited trial reservation record, including the published Business number and reservation date, remains after account or Business deletion to prevent repeated free trials. Backups and provider records can have separate retention periods. Contact the privacy officer to ask which records remain and how a deletion request will be handled.
Access, correction, deletion and complaints
Contact admin@botable.pro to request access to your personal information, correction of inaccurate information, a copy in a usable electronic format, deletion or withdrawal of consent. Explain your relationship to the Business and the information concerned; do not send recordings or sensitive information in the initial email. We may verify your identity before providing records. Some requests are subject to legal retention duties or other exceptions. Withdrawing consent for information required to provide the service may prevent us from continuing it. Send privacy complaints to the same contact so the privacy officer can investigate and respond.
Changes to this policy
